Administrative Assistant - Part Time

ROLE OVERVIEW

This is the operational backbone of the church office. It keeps daily functions running, ensures the building and people are cared for during the week, and manages all logistics, facilities, and front-facing office responsibilities. This is not a creative or communications role — it is a coordination, logistics, and people-support role that requires reliability, follow-through, and a calm presence under weekly pressure.

CORE RESPONSIBILITIES

Office Operations

  • Answer and direct all phone calls and the admin email (admin@washingtoncma.org)

  • Receive and distribute mail

  • Welcome walk-in guests Monday–Friday

  • Maintain and coordinate the church calendar across all ministries

  • Manage office volunteer schedule

  • Write and send welcome letters to new guests

  • Prepare and mail weekly shut-in packets (Bulletin, Prayer Packet, Sermon Notes, Newsletter)

  • Attend and take notes at weekly staff meetings

  • Assist staff with research and special projects as needed

  • Update Prayer Packet

Facilities & Logistics

  • Manage key card access — assign and collect as needed

  • Distribute and collect Facility Use forms; collect fees and create invoices

  • Maintain pantry, coffee bar, and janitorial supply inventory

  • Monitor and order office supplies; complete requisition forms for all purchases

  • Manage church bus schedule and Sunday bus driver coordination

  • Coordinate standard room setup for scheduled groups

 

SKILLS REQUIRED

  • Organized and detail-oriented — manages multiple logistics tracks simultaneously

  • People-forward — warm, welcoming, and reliable at the front desk

  • Proficiency in Microsoft Office and Google Docs; Planning Center a plus
